Privacy policy
This policy explains what we do with the information you give us. It is written to be read, not to be impenetrable. If anything in it is unclear, call us on 07466 857341 and we will explain it.
Who we are
Tenancy Crew provides gardening, cleaning and licensed waste removal across Birmingham and surrounding areas. For anything in this policy we are the data controller, which means we are responsible for the information described here.

What we collect
When you contact us, whether through the quote form, by email or by phone, we collect what you tell us:
- Your name, and your company if you give one
- Your phone number and email address
- The address or postcode of the property
- Which services you need and your description of the work
- Any photographs you send us
- Access arrangements, such as where a key is held or who to speak to on site
If you become a customer, we also keep records of the work we carried out, when we attended, what we quoted and what was paid.
We do not ask for and do not want information about your health, beliefs, ethnicity or anything else that counts as special category data. Please do not send it to us.
Why we use it, and on what basis
We use your information to do the job you asked us to do. In data protection terms:
- To answer your enquiry and prepare a quote. Our legitimate interest in responding to someone who has approached us about work.
- To carry out the work and invoice for it. Performance of our contract with you.
- To keep financial and waste records. Legal obligation. HMRC requires business records to be kept, and waste transfer documentation is required by law.
- To deal with a complaint or a dispute. Our legitimate interest in being able to establish what happened.
We do not sell your details. We do not add you to a marketing list because you asked for a quote, and we do not send marketing emails.
Photographs
Photographs matter in this trade, so it is worth being clear about them.
We take photographs of work before and after we carry it out. These are a record of the condition of the property and of what we did, and we may need them if a question is raised later about the standard of the work or about damage that was already there.
We will not publish a photograph of your property, or of work at your property, on our website, on social media or anywhere else without asking you first. If we do ask and you would rather we did not, that is the end of it and it makes no difference to the work or the price.
If you send us photographs with an enquiry, we treat them the same way.
Who else sees it
Your information stays with us and the people we need to involve to run the business:
- The companies that provide our email, our website and our quote form, who store the data on our behalf
- Our accountant and, where relevant, HMRC
- Licensed waste sites, who receive the waste transfer documentation the law requires
- Anyone we are legally required to disclose to, such as a court or a regulator
If we ever use a subcontractor to help complete your job, they get only what they need to do the work, such as the address and the access arrangements.
How long we keep it
- Enquiries that do not become work: up to 12 months, then deleted.
- Records of completed work, invoices and payments: six years after the end of the relevant tax year, which is the period HMRC requires.
- Waste transfer documentation: for the period required by waste legislation.
- Job photographs: kept with the job record for the same six-year period, then deleted.
Cookies and tracking
This website does not set cookies, does not use analytics and does not track you. There is nothing to opt out of.
If that changes, this page will be updated and you will be asked for consent before any non-essential cookie is set.
Your rights
Under UK data protection law you can ask us to:
- Give you a copy of the information we hold about you
- Correct it if it is wrong
- Delete it, where we are not required to keep it for tax or legal reasons
- Restrict or object to how we are using it
- Transfer it to someone else, where that applies
Email info@tenancycrew.co.uk and we will deal with it within one month. There is no charge.
If you are not happy with how we have handled your information
Tell us first and we will try to put it right. If you are still not satisfied you can complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk or on 0303 123 1113. You can go to the ICO without coming to us first.
Changes to this policy
If we change how we handle information we will update this page and change the date at the top.
